Clarifications on Current Polls & Extended Deadline
Dear IAVCEI Members,
Several questions have been raised regarding the polls announced in the 3’25 newsletter (https://www.iavceivolcano.org/newsletter). We recognise that some information may not have been sufficiently visible, so we would like to provide the key clarifications below and ensure all members are fully informed.
In the light of this, the deadline for the current polls (not the ongoing elections) has been extended to:
Friday, 21 November at 12:00 am Central European Time
Communication of Polls We try to limit emails and normally share updates through our quarterly newsletter, which includes a clickable table of contents for easy navigation. Polls are also posted across our five social media channels (Bluesky, Facebook, Instagram, LinkedIn, X). Based on feedback, we will improve visibility for future polls, including more direct email reminders for important topics.
Poll 1 – Amendment to §7 (Statutes & By-Laws) Polls do not require a quorum, as per Statutes §10.8, §11.1 and §11.4 (https://www.iavceivolcano.org/statutes-and-by-laws). A two-thirds majority of valid votes is required for approval and implementation.
Poll 2 – Membership Fees & Waivers Fee waivers are intended to support members during financial difficulty for up to four years. After four years, we hope members will be able to transition to self-supported membership, but requests will continue to be assessed case by case, with flexibility for exceptional circumstances. A “Donate to IAVCEI” option is now available so donors can directly support membership fees for those in need (https://www.iavceivolcano.org/donation-form).
Poll 3 – Presidential Terms There are currently no term limits for members of the Executive Committee with the exception of the President. This is also valid for other elected roles as members of leadership teams of commissions and networks. Members may serve multiple terms if elected. The proposal aims to align election rules even for the President with this existing practice. The Advocating Committee (https://www.iavceivolcano.org/award-and-advocating-committees) ensures that elections are open, inclusive and fair, and also helps identify potential EC candidates (Statutes §8). If a President is re-elected, the “Past President” Advisory Board seat remains vacant—similar to the Past-Secretary-General role, which only applies in the first year of a new Secretary-General’s term (Statutes §9.3).
